Managing Games and Events

Scheduling events is advanced, so you should already understand how to schedule normal programs using the station, program and schedule forms.

The major difference between programs and events is that:

  • Normal programs recur: Every Mon-Fri at 10 a.m.
  • Events happen once: Jan 27th at 10 a.m.

Games

Games are the most common example of events, but any program can be scheduled one-time (e.g. the president’s State of the Union address).

Games carried on multiple stations are easily managed with the team affiliates. These means that you only change one entry and all of the affiliate stations are adjusted automatically (e.g. A “Bears vs Mustangs” game would automatically be scheduled for all the stations for both Bears and Mustang affiliates).

Major U.S. sports schedules are imported and automatically assigned for the regular season. This import process creates RadioMill schedules for each affiliate. The system adjusts for the affiliate station time zone.

The RadioMill schedule form is used to manage recurring programs. You can also use it to delete specific games from specific stations.

However, you can add and change the game schedule using the program and affiliate forms.

Game Specific Tool

This game entry page is designed to add sports games with two teams. The page gets the team logo and schedules the program on all the affiliate stations for the team network.

Add a New One-Time Event

Events are added and changed using the normal program form. However, you can control what stations carry the event by adding a particular station or a network affiliation.

Schedule an Event on a Single Station

To schedule for a single station, use the Add Event” link on the station form:

  1. From RadioMill, search for the radio station, and click through to the station’s form.
  2. Click “Event” where it says Add Program/Event.
  3. Complete the form similar to how you would a normal program.
    • Instead of indicating a day of the week, put the event date in the Event Date field as MM/DD/YYYY.
    • Make sure to enter the correct live time and time zone. These are critical fields for events.
  4. Click “Save.”

Optional: Continue scheduling the event on more stations

  1. Click stations” where it says On X stations and times.
  2. In the input box at the top of the page, enter a Call-sign or Station ID.
  3. Click “Add Station.”

Schedule an Event on All Stations of a Radio Network

To schedule an event on a radio network’s affiliate stations, add the radio network to the program form and click “Save.”

NOTE: Removing the radio network after saving the page will remove the event from ALL schedules.

Start From a Radio Network

Alternatively, you can schedule an event to a radio network’s affiliates by first selecting the radio network.

  1. From RadioMill, click “Manage Affiliates.”
  2. Choose the affiliate from the drop-down menu, and click “Review.”
  3. Click “Add an event.”
  4. Complete the form similar to how you would a normal program.
    • Instead of indicating a day of the week, put the event date in the Event Date field as MM/DD/YYYY.
    • Make sure to enter the correct live time and time zone. These are critical fields for events.
  5. Click “Save.”

Save an Event Copy Instead of Starting Empty

Adding a program from an existing one can be faster since you only need to enter any changes. Doing this is like doing a “Save As.” The feature works the same with events as with other programs:

  1. Find the event you want to copy, and modify in RadioMill.
  2. On the events form, click Add Program.”
  3. Modify the information as necessary.
  4. Click “Save.”

Changing an Event

Changes to game title, description and other fields work like changing a normal program. Search for the event, edit it and click Save.”

Rescheduling an Event

If you change the date and time of the event, you will reschedule the event and update all stations schedules that the event is on.

NOTE: Rescheduling overwrites any specific station adjustments made through the schedule form.

Remove Event From an Individual Station’s Schedule

Sometimes not all affiliates carry a particular event. Or, you may need to change the stream flag when particular stations don’t stream an event. For these cases, you can manually delete a game from a station:

  1. From RadioMill, search for the radio station and click through to the station’s form.
  2. Click “Schedules.”
  3. Click Show Events.”
  4. Check the box next to the event you want to delete.
  5. If you have permissions, click “Delete.” If you do not have permission, ask your editor to delete the program for you.

NOTES:

  • Events will be rescheduled if the affiliate program information is changed.
  • You cannot change an event date from the station schedule form. Instead, reschedule the event using the program form.

Change Schedule Stream Rules for a Station

You may need to change a stream flag when particular stations do not stream the game. Use the station schedule page, and click “Show Events.” Then update the broadcast terrestrial flags as needed, and click “Save.”

NOTES:

  • These changes are also lost if the event date is changed.
  • If you start with an event and add affiliates or stations, the new schedules are streaming until changed. If you add an affiliate to a station, new events added are streaming if at least one other event schedule has streaming.

Delete an Event and All Schedules

Events are automatically deleted by the system the day after the event is over. If the event persists, please let a developer know.

If you need to delete an event before it occurs, just delete the program:

  1. From RadioMill, search for the event using the Find/Modify input box under the Work with Programs and Schedules section, and click through to the event’s form.
  2. If you have permissions, click “Delete.” If you do not have permission, ask your editor to delete the program for you.

NOTE: Deleting an event removes it from search and from any station lineups.
